How often does Airbnb iCal sync? Every 3 hours, and why that causes double bookings
Airbnb’s help centre says your Airbnb calendar automatically updates synced calendars every 3 hours, and you can press Refresh to check sooner. Because iCal is a feed that each platform polls on its own schedule, a booking made on one site can stay open on another for hours, which is how most iCal double bookings happen.
Key takeaways
- Airbnb imports external iCal calendars about every 3 hours. Older versions of its help page said 2 hours.
- Booking.com lets you click “Import now”, but it does not publish an automatic interval. Vrbo, Agoda and Expedia do not either.
- iCal only carries blocked dates. It does not carry rates, guest details or minimum stays.
- Under Airbnb’s host cancellation policy, a double booking is the host’s responsibility. Fees run from 10% to 50% of the reservation, with a $50 minimum.
- API channel managers update in seconds, not hours. Use them where you can, and add buffers where you can’t.
| Channel | Status | What syncs |
|---|---|---|
| Booking.com | Live | Availability, rates and reservations |
| Expedia | Live | Availability, rates and reservations |
| Agoda | Live | Availability, rates and reservations |
| Airbnb | Live | Availability |
What Airbnb officially says
Airbnb’s help article on syncing calendars says: “Your Airbnb calendar automatically updates every 3 hours.” To see the latest availability sooner, you can select Refresh, but Airbnb notes it can only request updates from the other website so many times. Airbnb imports up to two years of data from a linked calendar.
Earlier versions of the same article said every 2 hours. Either way, the gap is measured in hours, and it applies to each calendar Airbnb reads.
How other platforms handle iCal
Published iCal refresh behaviour, checked October 2026
| Platform | Automatic refresh | Manual refresh |
|---|---|---|
| Airbnb | Every 3 hours (official) | Yes, “Refresh” |
| Booking.com | Not published | Yes, “Import now” |
| Vrbo | Not published | Not documented |
| Agoda | Not published; no self-serve iCal link | Not documented |
| Expedia | Not published | Not documented |
Booking.com’s calendar sync is also limited: its help page says it is only for properties with 20 room types or fewer, one unit per type, and no XML (API) connectivity. A property connected to Booking.com through a channel manager uses the API instead.
Why a 3-hour gap turns into a double booking
iCal is a pull system. Each platform downloads the other’s calendar file on its own timer, and the iCalendar standard only defines a suggested minimum polling interval. Nothing is pushed when a booking happens.
So the risky window is the time between a booking on site A and site B’s next download of site A’s calendar. Say a guest books your apartment on Booking.com at 14:05 and Airbnb last read your Booking.com feed at 14:00. Airbnb may not see that booking until about 17:00, and another guest can book the same nights on Airbnb in between. Last-minute and same-day bookings are hit hardest, because there is no time left to notice and fix the clash.
iCal also leaves out everything except blocked dates. Rates, minimum stays and guest details are not synced, which is why Booking.com’s own connectivity FAQ lists late requests to close availability as a cause of overbookings.
What a double booking costs on Airbnb
Airbnb’s host cancellation policy names double-booking a listing as a host-caused cancellation. The fee depends on timing, and Airbnb can also block the listing’s calendar for those dates, suspend the listing and remove Superhost status. You also lose the payout for the cancelled booking.
Airbnb host cancellation fees (policy effective 9 Oct 2023)
| When you cancel | Fee |
|---|---|
| 48 hours or less before check-in, or after check-in | 50% of the reservation amount |
| 48 hours to 30 days before check-in | 25% |
| More than 30 days before check-in | 10% |
| Minimum fee | $50 |
Settings that shrink the risk
- Same-day cutoff: on Airbnb, stop same-day bookings at an hour that leaves time for calendars to catch up. Airbnb lets you pick any hour between 6:00 AM and midnight.
- Advance notice: require at least 1 day’s notice on iCal-only channels so last-minute bookings cannot slip through a sync gap.
- Preparation time: block 1 night before and after each booking on Airbnb. This also gives cleaners room.
- Availability window: keep it shorter than the shortest window any of your calendars exports. Some PMS vendors report Airbnb’s export covers about one year ahead.
- Refresh by hand after you accept a booking elsewhere, using Airbnb’s Refresh or Booking.com’s Import now.
- Turn off Instant Book on a channel that is only connected by iCal, so you can check availability before accepting.
Test the delay on your own listing
- Pick a far-future night Choose a date nobody will book, so the test cannot harm a real guest.
- Block it on one platform Note the exact time you blocked it, for example on Booking.com.
- Watch the other calendar Check Airbnb every 15 minutes without pressing Refresh, and note when the night turns unavailable.
- Repeat both ways Run it from Airbnb to the other site too. The two directions often differ.
- Unblock and record Remove the block, log both delays, and set your same-day cutoff to cover the longer one.
API sync vs iCal
A channel manager connected by API does not wait hours for a calendar download. Booking.com tells connectivity partners to send real-time rates and availability, and to check for new reservations as often as every 30 seconds. That is the difference between a gap of seconds and a gap of hours.
In Ribat, Booking.com, Expedia and Agoda sync in near real time. If you connect any calendar by iCal, the polling rules above apply, so use the settings in this guide.
