Hotel PMS pricing: what small properties actually pay
Small properties usually pay a monthly PMS fee based on room count, a percentage of bookings, or both, plus extras such as payment processing, setup and add-ons. In the five published plans in our table, checked 7 November 2026, 5 rooms cost about €29 to $119 a month. Many vendors publish no price at all.
Key takeaways
- Most PMS bills combine a monthly fee based on room count with possible extras, and some add a percentage of bookings.
- A low headline price can grow once you add payment processing, text messages, extra logins and paid modules.
- Many vendors publish no price. Ask for a written quote at your exact room count that lists every fee.
- OTA commission is a separate cost. No PMS removes it, even one that charges no commission of its own.
Ribat wrote this guide, and Ribat sells a property management system (PMS), the software that runs your reservations, calendar and daily operations. We show other vendors’ prices only where they publish them, and our own prices in full near the end.
How do hotel PMS vendors charge?
Most vendors charge per room, per property or by a percentage of bookings, and many combine these with one-time and add-on fees.
- Per room. You pay a rate for each room every month. WebRezPro publishes $10 per unit per month with a $100 minimum, and Mews says it prices per room.
- Per property. You pay one monthly price for the property, usually stepped by room count. It does not change with your bookings.
- Percentage of bookings. The vendor takes a share of each booking, often on top of a monthly fee. Smoobu’s Flex plan charges 0.9% per booking. On €5,000 of bookings in a month, that is €45.
- Setup and add-on fees. Setup is a one-time charge. Add-ons are paid extras, billed monthly or by use. Sirvoy, Beds24, WebRezPro and Smoobu say they charge no setup fee. Little Hotelier says plans with an onboarding specialist may have one.
What could the monthly bill be at 5, 20 and 50 rooms?
In our example, 5 rooms cost $40 to $117 a month depending on the model, and 50 rooms cost $199 to $1,170. The rates below are made-up example numbers, not any vendor’s prices. We assume $60 per night, 65% occupancy and a 30-day month, which gives $5,850, $23,400 and $58,500 in monthly bookings.
Example monthly cost by pricing model, using made-up rates and rounded to the dollar
| Model and example rate | 5 rooms | 20 rooms | 50 rooms |
|---|---|---|---|
| Per room: $8 per room | $40 | $160 | $400 |
| Per property: $99, $149 or $199 by size | $99 | $149 | $199 |
| Percentage: 2% of bookings | $117 | $468 | $1,170 |
| Mixed: $50 base plus 1% of bookings | $109 | $284 | $635 |
Now add extras. Say the per-room plan also has $60 a month in add-ons and a $300 setup fee, spread over 12 months at $25 a month. Your first-year monthly cost becomes $125, $245 and $485.
A percentage falls in quiet months. At 20% occupancy, 5 rooms bring in $1,800, and 2% of that is $36. So look at your whole year, not your best month.
What is usually extra?
Payment processing, messaging, extra logins, channel connections and add-on modules are the usual extras. These examples come from vendor pages we checked on 7 November 2026.
- Payment processing. Mews bills it separately from the subscription. Amenitiz Pay charges 1.5% + €0.25 per transaction. Little Hotelier says transaction fees apply to its payments product.
- Channel connections. Beds24 charges €0.55 a month per link, meaning one room type connected to one booking channel.
- Text messages. Beds24 charges €0.10 per SMS. Sirvoy charges €0.06 on Pro and €0.10 on Starter.
- Extra logins. Beds24 charges €2.00 a month per extra login, and Smoobu from €12 a month for an extra account that can make changes. WebRezPro says it does not charge for users.
- Onboarding. Beds24 lists personal onboarding and training from €79. Amenitiz bills one-time fees, such as a website build, separately.
- Add-on modules. Cloudbeds lists revenue management and websites as add-ons. Little Hotelier lists add-ons such as Guest Engagement, and variable booking fees on Channels Plus and Hotel Metasearch.
- Tax. Little Hotelier’s prices exclude tax. Beds24 and Smoobu mention VAT where it applies.
OTA commission is a separate cost. An OTA (online travel agency) such as Booking.com charges its own commission on bookings made through it, whichever PMS you use.
What do vendors publish?
Five of the vendors we checked publish prices, and six are quote only. All prices are as shown to us on 7 November 2026, in the currency displayed, without conversion. They may change, or differ by country. Features also differ, so compare like with like.
Published monthly prices, checked 7 November 2026
| Vendor and plan | 5 rooms | 20 rooms | 50 rooms |
|---|---|---|---|
| Little Hotelier Pro | From $119 | From $209 | From $305 |
| Sirvoy Pro | €59 | €109 | €149 |
| Beds24 | €29.20 | €71.50 | €151.15 |
| WebRezPro | $100 | $200 | $500 |
| Smoobu Professional Prepaid | €83 | €263 | €623 |
What sits behind those numbers:
- Little Hotelier: prices exclude tax. It says it specialises in properties with 1–30 rooms, so 50 rooms is outside its focus.
- Sirvoy: billed monthly. Starter costs less (€16, €30, €42), but the channel manager, the tool that connects you to booking sites, is listed under Pro.
- Beds24: calculator totals using 2, 4 and 5 room types and 3 channels. Different inputs give a different total.
- WebRezPro: our own sum from its $10 per unit rate and its published minimums.
- Smoobu: vacation rental software, billed monthly. Flex costs €77, €257 or €617 plus 0.9% per booking. Its FAQ asks anyone with more than 20 properties to get in touch for a quote, so confirm the 50-room price.

What should you ask a vendor?
Ask for answers in writing, with your exact room count. These questions cover the costs that most often go unmentioned.
- What will I pay each month at my room count, including tax?
- Do you take a percentage of any booking, on any channel or feature?
- Is there a setup, onboarding or data import fee?
- Which of these are included: channel connections, booking engine (the booking form on your own website), messages, reports and extra logins?
- What are your payment processing rates?
- How do you count apartments and dorm beds? Sirvoy, for example, counts 4 beds as 1 room.
- Is there a minimum contract, and is there a discount for paying yearly?
- What happens to my price when I add rooms or a second property?
What does Ribat charge?
Ribat charges a flat monthly price per property, set by room count. Every tool is included, there is no setup fee, and Ribat takes no booking commission. OTAs still charge their own. There is a 14-day free trial, and setup takes about 15 minutes.
Ribat monthly price per property, in US dollars
| Rooms | Price per month |
|---|---|
| 1–2 | $49 |
| 3–5 | $69 |
| 6–10 | $89 |
| 11–20 | $129 |
| 21–50 | $179 |
| 51–100 | $229 |
| 101+ | $289 |
So 5, 20 and 50 rooms cost $69, $129 and $179. Ribat is not the cheapest choice in every case. Sirvoy has a free plan for one unit, and Beds24’s total can be lower, depending on your setup.
Ribat may not suit you if you need payments and direct booking, Hostelworld, Vrbo, dorm beds, an owner portal or WhatsApp code delivery as standard, because these are on request, not live. Its door code tools work with TTLock, and remote lock control also needs a TTLock lock, a G2 or TTLock-approved gateway connected to the internet, and a TTLock account. See the pricing page for what is included.

Frequently asked questions
How much does a hotel PMS cost per month?
It depends on room count, plan and extras. In the five published plans in our table, checked 7 November 2026, 5 rooms cost about €29 to $119 a month and 50 rooms about €149 to €623. Many vendors publish no price.
Is per-room pricing cheaper than one price per property?
It depends on your size. In our made-up example, $8 per room costs $40 at 5 rooms against a $99 property price, but $400 at 50 rooms against $199. Run the sum with real quotes.
What does quote only mean?
The vendor does not publish a price. You share details about your property and its sales team gives you a figure. Ask for that quote in writing, with every fee listed.
What fees are usually extra with a PMS?
Common extras are payment processing, text messages, extra logins, channel connections, paid onboarding and add-on modules such as revenue tools or websites. Each vendor draws the line differently, so check its list.
Does a PMS with no commission remove OTA commission?
No. An OTA such as Booking.com, Expedia or Agoda still charges its own commission on bookings made through it. A PMS can only choose not to add a percentage of its own.
How much does Ribat cost?
Ribat charges a flat monthly price per property by room count, from $49 for 1–2 rooms to $289 for 101 or more. Every tool is included, with no setup fee and no booking commission.
